Privacy Policy

This policy explains what information Proper processes, why it is processed, and the choices available to users and customers interacting with Proper-powered workflows.

Last updated: April 8, 2026

1. Information We Collect

Depending on how Proper is used, we may process:

  • Account and profile data (for example name, email, company, role, and authentication/session information).
  • Customer booking data (for example service selections, date/time preferences, address, notes, pet/access details, and contact preferences).
  • Operational records (bookings, jobs, subscriptions, assignment and routing state, notifications, and support tickets).
  • Billing and payment metadata (for example payment status, invoice references, Stripe-linked identifiers, refunds, and payout state).
  • Technical/security data (for example IP address, user agent, request logs, and rate-limit events).

2. How We Use Information

  • Provide and operate account, booking, scheduling, and workflow features.
  • Process payments, invoices, refunds/voids, and payout workflows.
  • Send product, operational, and support communications.
  • Enforce security controls, role access, and tenant isolation.
  • Debug, improve, and maintain platform reliability and performance.
  • Comply with legal obligations and enforce contractual rights.

3. Cookies and Session Handling

Proper uses server-side session authentication patterns, including an HTTP-only cookie for authenticated workspace access. These mechanisms help keep users signed in and protect access to account-restricted features.

4. Payments and Financial Data

Proper integrates with Stripe-backed payment workflows. We may store transaction metadata and provider reference IDs required for reconciliation, refunds, dispute handling, payout workflows, and operational reporting. Raw card numbers are intended to be handled by payment providers, not stored directly in Proper application records.

5. Communications

  • Proper supports in-app notifications and may send email and mobile/push notifications based on product settings and role.
  • Certain operational notifications can be mandatory for security, billing, or account integrity reasons.
  • Test-mode notifications are segregated from live mode and may have channel restrictions.

6. Data Sharing

We do not sell personal information for money. We may disclose data:

  • To service providers that help us operate the platform.
  • Within a customer’s authorized company workspace and role model.
  • When required by law, legal process, or security investigation.
  • In connection with corporate transactions (for example merger, acquisition, or asset transfer), subject to appropriate safeguards.

7. Data Retention

We retain information for as long as needed to provide the service, support operational history, meet legal/accounting obligations, resolve disputes, and enforce agreements. Retention periods vary by data type and business context.

8. Security

  • Proper applies technical and organizational safeguards designed to protect information from unauthorized access and abuse.
  • Security controls include role-scoped access, request protections, and abuse/rate-limit controls on sensitive authentication routes.
  • No internet-connected service can guarantee absolute security.

9. Your Choices and Rights

  • You can generally update profile and company contact information from product settings where available.
  • Workspace administrators may control user roles and access.
  • You may request access, correction, or deletion support by contacting us, subject to legal and operational constraints.
  • Users in certain jurisdictions may have additional statutory privacy rights.

10. Children’s Privacy

Proper is intended for business and operational use and is not directed to children under 13.

11. International Processing

Proper and service providers may process data in multiple countries. By using Proper, you understand information may be transferred to and processed in jurisdictions that may differ from your own.

12. Policy Changes

We may revise this Privacy Policy over time. Updated versions are effective when posted, unless a different effective date is stated.
